Bates School Renovation and Restoration Project Committee and Members First Meeting

Friday night, April 23rd, 2004 Darla's Bates Store was hopping with over fifty people from the Stateline Community for the first official meeting regarding the "Renovation and Restoration of the Bates Schoolhouse." The meeting was called to order and organized by Angela Free to re-establish a School Board Committee and discuss necessary foundational steps to applying for and receiviing state and federal grant funding. The large turn out for the Schoolhouse Project proved very encouraging for the community and especially the newly elected board members who will have a long journey ahead until completion.

After the invocation given by Pastor Larry Free, a new board was voted in as follows: Angela Free...President, Jerry MilIer...Vice President, Sarah Rice...Secretary/ Treasurer, Robert Page, Christine Canada, Kathy Free and Joe Paul Stafford.

Board members were then assigned Chairs by those in attendance as the special positions within the School Board: Angela Free...Grant Writing and Legalities Chairman, Jerry Miller.....Interior/Exterior Maintenance Chairman, Kathy Free...Fund "'Raising Chairman, Robert Page...Schoolyard Grounds Chairman, Angela Free...Media/Public Relations Chairman.

Angela Free then took her place as President and conducted the meeting from that point on.

The President read the letter she submitted to the Arkansas Historic Preservation Program, and reported on the quick response received from their office only two days later.

Secondly a brief summary of grant legalities/eligibilities was explained, and matching funds discussed (upon the approval of state officials) to receive monetary funding.

Angela reported that after researching other restoration projects in the area and speaking with the people who managed them, the first step is to get the Schoolhouse house listed on the National Register of Historic Places for the State of Arkansas. A thorough application must be submitted to the state with a series of precise steps to complete the process, if site is applicable.

Matching and Fund Raising was briefly discussed and attendents were encouraged to suggest ideas and activities. Several great ideas were mentioned, and the board feels like the eagerness to volunteer and obvious enthusiasm shown from the people at this meeting will be a definate asset to the fund raising part of the project.

The President then asked about future plans and the purpose of the Bates Schoolhouse. It was unofficially decided that the site will serve as a multi-purpose community center for the Bates area.

A Schoolyard Clean Up day was scheduled and set for May 15th. This will be widely advertised at a later date...and possibly add a "week day" Clean Up Day for those that work on Saturdays.

Old Business was then recognized. The previous account at the Bank of Waldron has been turned over to the new board. Angela said notification from the bank of the transaction will be announced at next week's board meeting. Aylene Martindale, previous president, presented the new board with the original deed and other bank information she had in her possession. Her support, agreeable nature, and love for the schoolhouse was much appreciated by all who attended.

Finally, New Business was acknowledged. Angela reported on the ledger she was keeping on everything she had done up unto that point concerning the project. She explained that the ledger was open to the community. Anyone who was interested in the legal process ofthe project was welcomed to complete access to her documents upon request.

A motion was then made to adjourn by Caleb Free and seconded by Dave Cooley.

After the meeting, those in attendance enjoyed old pictures, souveniers, and memories of the Bates Schoolhouse, and excited in the knowledge that it will once be functioning again soon.

Honorary Guests were Edna Ward and Everett Sanders, both of whom were teachers in Bates at the Schoolhouse before the consolidation to Waldron. Don and Shelby Frost were also in attendance to show their support for the project. The board appreciates their time and consideration as well.

A special, heart-felt THANK YOU to Charlie and Darla Abbott for letting the community gather in their store and hold the meeting. The board would also like to recognize Kendall Abbott for her kindness by placing beautiful native Arkansas flowers on the tables for all to enjoy during the meeting. Darla's Bates Store will serve as official headquarters for the Bates Schoolhouse Project and hold all information pertaining to meetings.
